Terms and Conditions


Bookings

Bookings can only be made over the phone with one of our conference co-ordinators. Requests received by email, mail, or fax will not be considered as bookings untill confirmed with the customer. All bookings will be confirmed by phone and or email from Conference Zone. A booking is not final until confirmation has been received.


Estimates

Conference Zone's prices can be found online at http://www.conferencezone.com.au/ and we can provide estimates of costs for:
 

Rooms in Australia and Worldwide Additional equipment hire connection charges, ISDN charges, etc and any other special needs you may have. Estimates are provided as an indicatative pricing only and are subject to change.


Access

A 15 minute buffer is scheduled prior to the commencement of the conference. If extra time is required for setting up of displays or rehearsals etc, prior arrangement must be made at time of booking. Participants are advised to arrive 10 minutes prior to commencement time.


Time Zones

All bookings are in Australian Eastern Standard Time. When booking please be aware of Time Zones. All locations' Time Zones will be indicated on the booking confirmation. All care will be taken but Conference Zone will not be responsible for any confusion over Time Zones.


Network and Equipment Failure

Conference Zone will pre-test all equipment and ISDN linkage prior to conference commencement, but will not be held responsible for audio or video problems caused by carrier networks, exchanges, far site ( other party ) power failure, background noise, third party equipment, inadequate lighting or equipment in external venues.


Test Calls

Test calls are recommended by Conference Zone but must be requested by the booking customer.

 
In-bound test calls performed during business hours will not incur a fee.  Outbound test calls during business hours will be charged at call rates only.

 
Test calls outside business hours will incur a service fee and any call fee if applicable.


Cancellations

  • Less than 24 hour notice: Full room hire costs plus external venue costs.
  • 24-48 hours notice: 50% room hire plus external venue costs.
  • More than 48 hours notice: any external costs only if applicable.

For external venue hire, clients are subject to the terms and conditions of that venue. These will be made available at the time of booking where organised by Conference Zone.


Payment Terms

Room Hire fees are to be paid at the time of booking, with balance of call fees on termination of conference.

 

Limitation of Liability

Conference Zone will not be liable for losses, costs, damages, charges or expenses caused by any delay, or problems arising with the conference except where allowed by the laws of New South Wales, Australia.  Conference Zone’s liability will be limited to the amount charged by Conference Zone for the specific conference.
